1. Introduction
NextLink Oy (later NextLink, we or us) is a company that implements international IT recruitment, especially as direct recruitment. It is important to NextLink that the collected data and personal information are handled confidentially and carefully. When processing data and personal information, we strictly comply with the General Data Protection Regulation (GDPR). NextLink stores and uses personal data only for strictly limited purposes. These purposes on the use of personal data include marketing, business analysis, service development, and other comparable uses.

NextLink strives to minimize the amount of data it collects and stores. When collecting personal data, we follow the law and we are transparent when storing the data, this means you can request to access the data we have collected about you at any time. This Privacy policy describes how NextLink collects, processes, stores and protects data and personal information.

2. What personal data do we process?
We strive to collect only necessary data for our business. The following examples show what data we collect from our clients or potential clients:

  • First name and surname
  • Title and the company 
  • Text-information given through contact form
  • Contact details
  • Marketing consent
  • Information collected through social media and through website cookies

Personal data collected from recruitment candidates:

  • First name and surname
  • Contact details
  • Information contained in the job application and Curriculum Vitae
  • Information collected in recruitment process (such as process development)
  • Possible aptitude and personality tests
  • Consent to process and handle the personal data

3. Where do we get the data?

NextLink collects information from several different sources. We receive and collect information through our website, LinkedIn, job forums, media and partners. The website has a contact form where our clients can leave their information in order that NextLink can contact them.

4. Passing of information
NextLink handles all personal data with care and does not disclose or sell it to other parties. NextLink uses the services of third parties, which makes it possible for personal data to be stored and processed through third parties, this means following:

  • In taking care of customer relations and acquiring new customers, we store and process data through HubSpot and WordPress. We strive to minimize the data we store and use, which means that we store and use only First name, Surname, Title and the company name, Contact details and Information related the state of the customer relationship (such as discussions and state of the process). 

The personal data of candidates in the recruitment process is handed over to NextLink clients in connection with the recruitment process. NextLink does not otherwise hand over or sell the personal data of candidates to other parties.

5. Transferal of information outside the EU / EEA

NextLink has partners outside the EU / EEA, in which case the partner may partly store data outside the EU / EEA. Our partners are contractually committed to use an adequate level in all personal data protection.

6. Data protection

NextLink has clear policies, processes and means for protecting personal data. Personal data is protected by passwords and firewalls. NextLink makes sure that only people whose job tasks require to access personal data are allowed to do so. All persons handling personal data have a duty of secrecy.

7. Data storage time

NextLink stores personal data only as long as it is necessary to fulfill the purposes defined for its processing, unless the law obliges to store it for a longer period. At the end of the storage period, the data is deleted. NextLink regularly manually deletes data from the company’s own systems.

8. Right to demand collected data

The aim of this Privacy policy is to help you realize your right to access information, and to help you understand how and why we process personal data. You have the right to receive information about the processing of your personal data in an easily understandable and readable format. You have the right to find out what data we process about you, in order that you can ensure the legality of the data processing. We want to keep all of our personal data up to date, so you have the right to demand that we correct inaccurate or incorrect information. You have the right to ask us to delete all your personal data from our register.

9. Third party services

Google Analytics 4

NextLink Oy’s website uses the Google Analytics 4 web analysis service provided by Google Inc. Google Analytics 4 uses cookies to analyze how users use the site. Our site uses IP anonymization. Accordingly, Google shortens/anonymizes the last octet of the IP address of citizens of European Union member states and members of the European Economic Area. Google uses this information to evaluate the use of the page, to prepare reports on website traffic for website providers and to provide other services related to website traffic and website use to the website provider.

We also use Google Analytics 4 to analyze data from the Google Ads. You can block this data processing through Google’s privacy settings here: https://myaccount.google.com/ . 

Collect.chat

NextLink use Collect.chat chatbot. Note that this Chatbot will only ever ask for your email address; any other Personal Information you provide is at your own discretion and not required for your use of the Services. We may combine the information we collect from you through Services with other Personal Information we have about you as described in this Privacy Policy. Any information combined with Personal Information will be treated as Personal Information. 

Calendly

NextLink uses Calendly as embedded meeting booking software. Calendly LLC is a service provider. When you book a meeting with NextLink through Calendly you give a permission to handle following data: your full name, email, phone number, reason of the meeting and the company you work for, if any other data appears NextLink will handle that in line with GDPR. If EU invitees are viewing Calendly through an embedded experience on Safari, the event won’t be trackable in Google Analytics. Register updates

NextLink updates the privacy policy regularly when laws or our operating methods change. The latest version of the privacy policy is always available on our website. The privacy policy always contains the date when it was last updated.
